Cancellation and Transfer Policy

  • Cancellations 61-90 days prior to tour departure will be charged 35% of the purchase price.
  • Cancellations 60-31 days prior to tour departure will be charged 65% of the purchase price.
  • Cancellations 30-0 days prior to tour departure will be charged 100% of the purchase price.
  • The following tours, however will have the cancellation policy as follows:
    • Glacier National Park and Waterton Lakes | France: Annecy, Chamonix, Rhone Alps | Utah National Parks: Bryce and Zion | Spain: Basque Country and Rioja Wine Region | All Bike & Barge/Sail trips
      • 90-75 days  35%
      • 74-62 days 65%
      • 61 days – 100%

Cancellation penalties will be calculated based upon the date of receipt date of written cancellation notification. Exceptions to our cancellation policy cannot be made for any reason. There is no refund for arriving late or leaving a trip early. Percentage charges are calculated on total trip cost. Any cancellation request received more than 91 days before the departure date will incur a $150/person administrative fee.

  • You may transfer to another trip or place your deposit on account for a future trip 65 days prior to your departure date. After that, normal cancellation policy applies.

Cancellation Policy for Private and Custom Trips

For private group and custom group trips, the following cancellation policy applies for all members of the group:

  • Cancellations 179-151 days prior to tour departure will be charged 35% of the purchase price.
  • Cancellations 150-121 days prior to tour departure will be charged 65% of the purchase price.
  • Cancellations 120-0 days prior to tour departure will be charged 100% of the purchase price.
  • Anytime during this if the group size drops under 13 it will no longer be treated as a private group. We will then book other guests on the departure.
  • All private and custom trip group members will need to pay the deposit of 40% of the total group cost within 7 business days of the first group member booking in order for us to block the departure.

Reservations

Our expert team of guest services specialists is on hand 5 days a week 9am – 6pm Eastern Time to book your next trip. Call 800-730-4771 or +1-802-425-4771, if calling from outside of the US. A deposit of $500 per person is required to confirm your reservation. Published tour prices are per person based upon double occupancy. Deposits may be made by cheque, money order, or a credit card (Visa, Mastercard, American Express). Final payment for all tours is due in full 90 days prior to departure. Balances may be paid by check or money order in US dollars or by credit card. We may automatically bill when your final balance is due unless otherwise instructed. If the final payment is not received when due, Sojourn reserves the right to cancel your reservation. There are no penalties for transferring your reservation to another tour date within the same calendar year, provided you do so at least 90 days prior to tour start. There will be a $150 per person administrative fee charged for changes to your reservation within 90 days prior to tour start and changes within this time frame may also be subject to cancellation penalties. All changes are subject to availability and cannot be guaranteed.

Trip Price

All prices are quoted in US dollars and every effort has been made to produce accurate information, however, Sojourn reserves the right to correct any pricing or product-related errors. You can always find the most current prices on our website or by calling us at 800-730-4771 or +1-802-425-4771, if calling from outside of the US. Once you book your Sojourn trip, your price is guaranteed. Prices cover land costs only; they do not include airfare to and from the trip except for Vietnam and Cambodia, where trip prices cover all internal air costs. Trip prices include baggage transfers, porterage, and all ground transportation during your trip. A limited number of electric-assist bikes will be available and tandem bikes will be available at an additional cost. Sojourn does not offer discounts on trip costs for bringing your own bikes.

Paying Your Balance

Balances may be paid by check or money order in US dollars or by credit card. We may automatically bill when your final balance is due unless otherwise instructed. If the final payment is not received when due, Sojourn reserves the right to cancel your reservation.

Departures & Tour Size

Travel to and from the specified tour start and endpoints are the responsibility of the traveler, not Sojourn. There is no refund for arriving late or departing early from a tour, nor for any meals, or services not used while on tour. All departures will require a minimum number of passengers to operate. The maximum number of tour participants on any departure will be 18-20 people (private trips excluded) not including tour leaders.

Routes & Itineraries

Routes, accommodations, and scheduled activities are subject to change at any time due to unforeseen circumstances or circumstances beyond Sojourn’s control. Every effort will be made to operate tours as advertised, but we reserve the right to make changes after the final itinerary has been issued. Sojourn bike routes are proprietary information and not to be published or shared in any format.

Accommodations

Prices are based on double occupancy rooms. Sojourn has a limited number of single rooms available for an additional cost (single supplement) on each departure. As a single traveler, should you prefer to share a two-bedded room with another traveler of the same gender, Sojourn will make every effort to fulfill your request and match you with a roommate. Then, after both parties travel on tour, the single supplement charge is refunded to both parties.

Special Offers

Group travel discounts cannot be combined with other offers. Group travel discounts are available by request from the Sojourn office. Sojourn travelers will be awarded a 5% discount off the rate paid for their previous trip toward their next Sojourn vacation provided it is within the same calendar year or the year following their previous travel. There is no discount for repeat travel beyond two years from the date of previous travel with Sojourn. The 5% discount may not be combined with other offers with the exception of referral credits. Special offers and discounts are applicable exclusively to tours of five nights and greater.

Travel Protection and Medical Insurance Plan

Because we strictly abide by our cancellation policy, it is strongly recommended that you purchase travel insurance (covering trip cancellation and interruption) well prior to traveling. For your convenience, Sojourn issues a comprehensive Travel Protection Plan quote, designed by Allianz Travel Insurance, following your reservation deposit. Travelers who bring their own bicycles or other equipment, supplies, and clothing assume the risk of loss, damage or theft of such items during their tour. Sojourn is not responsible for and does not assume liability or accept claims for loss or damage to such items during the tour. We advise travelers to ensure their homeowner’s insurance provides adequate coverage for personal property while traveling. For all of our trips outside of North America, we will require proof of medical insurance in the country of travel at least 60 days in advance of the tour start date.

Release of Liability

Payment of your reservation deposit constitutes acceptance of the Terms and Conditions as described here and in the pre-departure information. All participants must sign a Release of Liability prior to the start of their vacation. For more information speak with a guest services specialist in our office. Your deposit is fully transferable. Sojourn can transfer your deposit to another tour with availability outside of 90 days of your tour departure or retain your deposit ($500 per guest) for a future trip before your final payment is due.

Trip Preparation

30-Day Packet: 30 days prior to your tour’s departure, you will receive a packet in the mail with a detailed itinerary, route instructions, pre- and post-trip hotel recommendations, travel information, and any additional information regarding preparation for your trip.

Passports and Visas: International travel requires a passport. Visas are required for travel in some countries. Your 30-Day Packet contains details about such documents.

Travel Arrangements: For help arranging travel plans and pre- and post-trip hotels for your trip, please call the Sojourn office at 800-730-4771 or +1-802-425-4771, if calling from outside of the US Monday-Friday 9am-6pm Eastern Time. We suggest you refrain from purchasing flights until our cancellation date has passed at 60 days prior to tour start. If you wish to make airline reservations before this, please contact our travel specialists for trip starting and ending times.

Clothing and Gear: Your confirmation itinerary will contain a list of clothing and gear needs. We highly recommend waterproof outerwear for all trips. Casual, comfortable clothing and layers are standard recommendations for daywear. Evening dress is determined by the formality of the trip’s lodgings. Consult our guest services specialist for suggestions specific to your trip.

Children

Children under 12 years of age may be conditionally accepted on Sojourn certain tours. A parent or legal guardian must accompany all children under the age of 18 throughout the tour.

Photography During Your Tour

Sojourn reserves the right to take photographs and video during the operation of any tour or part thereof and to use them for promotional purposes. By booking a reservation with Sojourn, tour participants agree to allow their images to be used in such media assets. Tour participants who prefer that their likeness not be used are asked to identify themselves to their tour leader at the beginning of their trip.

Disclaimer

Sojourn will not refund for any unused portion of your tour. Sojourn will not make exception to these policies for any reason and as such strongly encourages travel insurance coverage for all participants. Sojourn reserves the right to cancel a tour at any time for any reason. While it is extremely rare, in the event of cancellation, a full refund will be sent to the guest and constitutes full settlement (minus cancellation charges). Sojourn will not reimburse for any personal expenses such as airline tickets, other travel or hotel expenses due to changes in itineraries, illness or injury, or tour cancellations. Routes, accommodations, and scheduled activities are subject to change at any time due to unforeseen circumstances or circumstances beyond Sojourn’s control. For maximum certainty, we suggest you refrain from purchasing airline tickets until our cancellation date has passed at 60 days prior to departure. Sojourn does not recommend the purchase of non-refundable airline tickets or non-refundable mileage credits and is not responsible for expenses incurred related to such. Every effort will be made to operate tours as advertised; however, we reserve the right to make changes after the final itinerary has been issued. Many of our trips in the United States operate under special use permits of national forests. Sojourn is an equal opportunity provider and an authorized permittee of the National Park Service. Any forced cancellation due to domestic or international travel restrictions will not constitute a cancellation by Sojourn.

Limitation of Liability, Release, and Indemnity

There are certain inherent risks in active travel including, but not limited to, theft or loss or damage to property, risks inherent in bicycling, kayaking, horseback riding, swimming, walking or hiking, failure of equipment, transportation failures, and accident or illness in remote places without access to medical facilities, transportation, or means of rapid evacuation and assistance. Sojourn tours involve physical activity that can be demanding for some, depending upon the condition of the traveler, and involve risk of serious personal injury, including permanent disability and death from accident, illness or the negligence of other persons. In some tour locations, medical facilities and services may not be easily accessible and may not be sophisticated. To be eligible to participate in a Sojourn tour, travelers must accept these risks and assume full responsibility for any loss, injury, death or damage to them, their family or their dependents arising in connection with their participation, or the participation of their family, in tours. Travelers must have their own insurance appropriate to their needs and the needs of their family or dependents in respect of such loss, injury, death or damage.

In addition and without limitation, Sojourn is not responsible for any injuries, damages, or losses caused to any traveler in connection with acts of God or force majeure, illness, disease, acts of war or civil unrest, insurrection or revolt, animals, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of means of transportation, or for failure of any transportation mechanism to arrive or depart on time, sanitation problems, local laws, weather, abnormal conditions or developments, or any other cause beyond the direct control of Sojourn.

As a tour operator, Sojourn organizes and promotes tour programs consisting of certain equipment and travel services, including food, transportation (vehicle, vessel or otherwise), sightseeing excursions and lodging accommodations that Sojourn purchases or reserves from various independent suppliers (collectively “Suppliers”). Although Sojourn endeavors to choose appropriate Suppliers to provide services on the tours, Sojourn does not own or operate any of these Suppliers. All such Suppliers are independent contractors and are not agents or employees of Sojourn. As such, Sojourn will not be liable for any negligent or willful act or omission of any Supplier or of any unrelated third party. The services provided by Suppliers are subject to the laws of the place where the services are provided, and any conditions imposed by those Suppliers.

The traveler represents that neither he nor she nor anyone traveling with him or her has any physical or other condition or disability that could create a hazard to him or herself or other members of the tour. Sojourn reserves the right to decline to accept anyone on a trip. Sojourn reserves the right to remove from the trip, at his or her sole expense, anyone whose condition is such that he or she could create a hazard to himself or others, or otherwise impact the enjoyment of other passengers on the trip.

You must advise us in writing, at or prior to booking, of any physical, emotional or mental condition that may require professional attention during the trip or may require the use of special equipment. If you fail to disclose any such conditions, Sojourn may refuse to allow you to take the trip and you will forfeit the trip cost; and in such event, we shall have no liability, financial or otherwise.

If you are so challenged, you must bring and be responsible for all necessary items related to your condition. If any such condition arises after the trip is booked, you must advise us in writing immediately. Failure to advise us shall release Sojourn and all professional personnel from any liability related to such condition or its treatment.

Participants who bring their own bicycles or other equipment, supplies and clothing assume the risk of loss, damage or theft during their trip. Sojourn endeavors to do their best to assist in safeguarding the personal property of its participants throughout the trip, the company is not responsible or liable for any loss or damage incurred during the trip. We advise travelers to ensure their homeowner’s insurance provides adequate coverage for personal property while traveling.

Travelers hereby forever release, waive and discharge Sojourn Active Vacations, Inc., and its affiliates, and its and their employees, tour leaders, shareholders, officers, directors, agents, successors and assigns, from all liability for loss or damage on account of physical or mental injury or loss of property, whether caused by negligence or otherwise, while participating in the tour.

Travelers agree that this Limitation of Liability, Release, and Indemnity will apply to a traveler’s tour with Sojourn, and any transfer of a reservation to another tour, including any pre-trip or post-trip extensions. This Limitation of Liability, Release, and Indemnity is binding upon the traveler participating in the tour, as well as all members of the traveler’s family, dependents, estate, heirs, successors, and legal personal representatives.

Each traveler, by participating in a Sojourn tour or travel activity, hereby submits to the exclusive jurisdiction and venue of the courts within the State of Vermont, or any federal court sitting in the State of Vermont, and waives any jurisdictional, venue or inconvenient forum objections to such courts.

Payment of the reservation deposit constitutes acceptance of the Terms and Conditions as described herein and in the pre-departure information. All participants must sign a Release of Liability prior to the start of their vacation with Sojourn or will be required to do so upon arrival.
